The problem

A form that only asks for name, email and phone leaves you starting every appointment blind. You find out the reason in the room, adapt on the spot, and the first part of the session goes on catching up with what you could have known beforehand.

The usual workaround is a preparation email sent by hand after every booking. You have to remember, write it, wait for the answer, find it again on the day. Across twenty appointments a week that is a recurring chore nobody wants.

The information you need is known in advance and always the same. Its place is in the form, at the moment the client is already filling in their details.

How it works in Kagenda

Custom fields are added to the booking form. They take several formats and can apply to certain services only.

  1. You create your questionsFree text, list of choices, tick box. Each can be required or optional depending on how much the answer matters.
  2. You choose where they applyA question can hold for every service, or appear only on some. A first appointment does not call for the same questions as a follow-up session.
  3. The client answers as they bookThe questions appear alongside their details, in the same step. There is no separate form to open.
  4. The answers arrive with the appointmentThey are attached to the booking and visible in its detail from the calendar, before the session.

Frequently asked questions

Can I make a question required?

Yes, field by field. A required question stops the booking going through until it is filled in — to be kept for information without which you genuinely cannot work, since every required field weighs on the completion rate.

Can I ask different questions depending on the service?

Yes, that is targeting per service. A question only appears for the services you have ticked.

Where do I find the answers on the day?

In the detail of the booking, from the calendar, beside the client, the service and the options.

Can sensitive information be collected there?

Technically yes, but be careful: health data carries particular obligations. It is often better to ask a general question at booking and keep the detail for the session.
