The problem

The phone rings while you are working. You do not pick up — you are with someone. In the evening you ring back: voicemail. The next day the person has found somewhere else. This is not a problem of manners, it is a problem of hours: your opening hours are exactly the ones in which you cannot answer.

The usual answer is a contact form. It moves the problem without solving it: the client sends an enquiry, waits for your reply, you offer three slots, two no longer suit. Three exchanges for one appointment, and a delay in which they can still change their mind.

Real online booking removes the exchange. The client sees what is free, chooses, confirms. You do not step in — and the slot is blocked the second they confirm, not when you get round to your voicemail.

How it works in Kagenda

Every business has a public page at its own address. The client always follows the same path, and has nothing to create in order to reach the end.

  1. They choose a serviceYour catalogue appears with durations and prices, if you choose to show them. Services can be grouped into categories and reordered by hand.
  2. They choose a date and a slotDates with no free slot at all are greyed out before the click. On the chosen date, only genuinely bookable slots appear — the calculation takes account of your hours, holidays, breaks and appointments already taken.
  3. They fill in their detailsName, email, phone, plus the questions you have added yourself. No password, no account: the booking completes on a single page.
  4. They receive their confirmationA confirmation email goes out immediately, in your colours and under your name. You get the alert on your side, and the appointment appears in your calendar.

Frequently asked questions

Does the client have to create an account to book?

No. Public booking completes without registration: the client enters their details and confirms. That is deliberate — forcing people to create an account loses a share of them at the precise moment they had made up their mind.

What happens if two people book the same slot at the same time?

The slot is checked at the moment of confirmation, not at the moment of display. The first confirmation takes it, the second gets a message asking them to choose another time. Where the service requires payment, the slot is additionally held for the whole duration of the payment.

Can I carry on taking appointments over the phone?

Yes. You enter the appointment from your calendar and it occupies the slot like any other. Both channels feed the same calendar; there is no double entry.

Where is my booking page?

At a public address belonging to your business, which you can share as it stands. You can also drop a button onto your existing website, add a floating badge, or print the QR code Kagenda generates.
