Booking software for Tour guides

The 2.30pm departure leaves with or without the latecomers: the reminder gives the exact meeting point, and the private tour shares neither the capacity nor the price of the public one.

The challenges facing tour guides

  • The departure leaves on time, with or without the latecomers

A group of twenty does not wait for two people. The reminder has to give the precise meeting point, not the name of the monument — the two are never in the same place.

  • Private and public tours have nothing in common

One fills one place at a time with a capacity, the other gets quoted for an existing group. Two logics, two prices, one guide.

  • Tourist offices send whole groups

It is not an individual sign-up, it is a block of twenty places booked by someone who is not coming. The contact and the organisation have to be collected separately.

  • A place booked and not paid for is worth nothing

On a free-to-book tour, a third of those signed up do not come. Paid online, the place brings somebody.

  • The guide is on a tour when the enquiries arrive

Two hours outside, no phone, several times a day. What books itself online in the meantime is not lost.

Practical guide: Tour guides

  1. The exact meeting point in the reminder, with a visual landmark. "By the gates, street side" beats the name of the monument.
  2. Two families of service: public departures, with their capacity and fixed times, and private tours, quoted with a date to agree.
  3. Payment at booking on public departures. That is what actually fills a group.
  4. An "organisation and contact on the day" field for groups sent by an office or a coach operator.
  5. A capacity per departure, set by how far your voice carries and what the site allows.
  6. Gift vouchers for tours: they sell well at the end of the year and get used in the spring.

Frequently asked questions

How much does a guided tour cost in the UK?

Around £15 to £30 per person for a public walking tour of two hours, and £200 to £450 for a private half-day tour for a group. Set your own prices.

Do you need a licence to guide in the UK?

No — and this is the opposite of Italy or Spain, where guiding is a regulated profession with a register. In Britain anyone may set up as a guide: there is no licence, no protected title and no legal qualification. What exists instead is access. The Blue Badge, awarded after training assessed by the Institute of Tourist Guiding, is the professional standard, and a number of major sites — including several royal palaces, cathedrals and heritage attractions — admit only Blue Badge guides or their own trained staff. Local and site-specific badges work the same way. So the qualification is a key rather than a requirement. Add public liability insurance, which most sites and coach operators will ask to see, and check whether the streets you use require a street trading consent for stationary meeting points.

Can I put the meeting point in the reminder?

Yes. The reminder text is yours to write, service by service.

Can I manage public and private tours together?

Yes, as two families of service.

Can I take payment for places at booking?

Yes. It goes straight to your Stripe account, with no commission from Kagenda.

How do I handle a group sent by a tourist office?

With a field for the organisation and the contact on the day, distinct from the person booking.
