The challenges facing event equipment hire businesses

  • Kit hired on Saturday has to be back before Sunday

It is not a slot, it is an object that goes out and comes back. Without return and checking time in the schedule, Sunday's hire goes out with a castle still wet — or does not go out.

  • Every item has its stock

Three candyfloss machines, not four. Availability is counted in units, and one more customer does not make one appear.

  • Delivery or collection: two operations, two prices

One takes a van and two people, the other a counter. Sold at the same price, one of them loses money.

  • Add-ons make half the contract

Extension lead, ground sheet, ballast bags, setting up. Every add-on has its price and its time, and they are chosen better online than on the phone on a Friday evening.

  • A booking without a deposit gets cancelled the night before

A wedding called off, a forecast that turns, and the most wanted Saturday of the year frees up at 6pm the day before.

Practical guide: Event equipment hire

  1. Each item is a counted resource. Three machines, three hires possible, not four.
  2. Buffer time between two hires of the same item: return, check, clean, dry.
  3. Two separate services, "delivered" and "collected", with their prices and slots.
  4. Add-ons — ballast, extension lead, setup — offered with their price at booking.
  5. A deposit on weekends and in high season. That is where a cancellation costs most.
  6. The security deposit stays a counter matter, taken at handover. What settles online is the hire.

Frequently asked questions

How much does a bouncy castle cost to hire in the UK?

Around £80 to £180 a day for a standard domestic castle including delivery and setup, and £200 to £500 for larger units and combined packages. Set your own prices.

What rules apply to hiring out inflatables in the UK?

This is one of the most closely regulated corners of event hire, and it is because children have died. Inflatables must be manufactured to BS EN 14960 and inspected annually by a competent person under a recognised scheme — PIPA or ADIPS — with the tag and report available; the Health and Safety Executive prosecutes operators who cannot produce one. Anchoring is the critical control: the required number and rating of anchor points must be used, and operation must stop when wind speed reaches the limit stated by the manufacturer, commonly around 24 mph, measured with an anemometer and recorded. Add constant adult supervision, a written risk assessment, safe use instructions given to the hirer in writing, and public liability insurance that specifically covers inflatables.

How do I count my stock per item?

By declaring each item as a counted resource.

How do I allow for return and checking?

With buffer time between two hires of the same item.

Can I offer delivery and collection at different prices?

Yes, as two separate services.

Can I ask for a deposit?

Yes, with the terms shown before payment.
