The challenges facing school photographers

  • Two hundred families over three days

Without named slots, it is an hour's queue and unhappy parents.

  • Siblings

Two or three children together, so a longer slot, to be asked for in advance.

  • Ten-minute slots

The slightest delay propagates through the whole day.

  • Working parents

They want the start or the end of the day, and those slots go first.

Practical guide: School photographers

  1. Ten-minute slots with two minutes of buffer: that is what holds the day.
  2. A "number of children" field that automatically lengthens the slot for siblings.
  3. Send the booking link through the school: each family picks its time.
  4. Open the early-morning and end-of-day slots first, they go immediately.
  5. A reminder the night before: across two hundred families, it prevents about twenty forgettings.

Frequently asked questions

Can I manage two hundred appointments over three days?

Yes. Each family books its own slot, and the day builds itself.

How do I handle siblings?

With a field that lengthens the slot automatically.

Can I restrict booking to families at the school?

Yes, by sharing the link through the school rather than publishing it.

Can I take payment online?

Yes. It goes straight to your Stripe account, with no commission from Kagenda.

What checks does a school photographer need in the UK?

An enhanced DBS check with the children's barred list, because photographing children in a school is regulated activity — and the school will ask for the certificate before you arrive, alongside public liability insurance and a risk assessment. Under Keeping Children Safe in Education, the school must satisfy itself about anyone working with pupils, and in practice a member of staff will supervise throughout: you should never be alone with a child. On images, the school is the controller for the photographs taken on its instruction, so agree in writing who holds what, how long you keep files and on what basis parents consented — some children are subject to court orders and must not be photographed at all, and the school will tell you which.
