The challenges facing VR arcades

  • The number of headsets limits everything

Four players at once, not five. The capacity is not the size of the room.

  • Cleaning between sessions

Ten unavoidable minutes, never in the schedule, always running late.

  • Experiences are not the same length

Fifteen minutes for one, an hour for another, and one slot length for both.

  • Weekend groups

They fill the room and take every headset at once.

Practical guide: VR arcades

  1. The capacity is the number of headsets. Declare it once and for all.
  2. Ten minutes of buffer after each session: that is the sanitising, and it is not optional.
  3. One service per experience, with its real duration.
  4. A deposit on weekend group hires.
  5. An "age of participants" field: some experiences have a minimum age.

Frequently asked questions

Can I cap by the number of headsets?

Yes, with a capacity equal to your kit.

How do I allow for cleaning time?

With buffer time after each session.

Can I hire out the whole venue?

Yes, as a separate service that takes every headset.

Can I take payment online?

Yes. It goes straight to your Stripe account, with no commission from Kagenda.

What about experiences with a minimum age?

Headset manufacturers set minimum ages of their own — commonly 13 — on developmental and safety grounds, and games carry PEGI ratings you should respect and display. Beyond that, three duties are real. Photosensitive epilepsy and motion sickness warnings must be given before play and recorded in your briefing. A player in a headset cannot see the room, so the play area, tethering and spotting are a written risk assessment under the Health and Safety at Work etc. Act 1974. And headset hygiene between users is both an insurance condition and the complaint you will otherwise receive. Collect ages at booking with a required field.
