Booking software for Counsellors and psychotherapists
The weekly session goes in once and for all, the reminder goes out the night before without saying why, and late cancellation follows a written rule rather than an awkward conversation.

The challenges facing counsellors and psychotherapists
The weekly slot is the frame of the work
Same day, same time, sometimes for a year. Rebooking it by hand every week is a waste of time, and losing it mid-way through a piece of work is far worse.
A cancellation the night before cannot be replaced
Nobody is looking for a therapy session for tomorrow morning. The hour is lost, and it is payable — but saying so yourself is uncomfortable.
Discretion in reminders matters
A text reading "reminder of your therapy session" on a locked screen, in an open-plan office or in a family, is not a small thing.
The first contact is delicate
Many people never call. They write, or they give up. A contact form promising a call back is not an appointment.

Practical guide: Counsellors and psychotherapists
- Book the weekly session on recurrence: the frame holds by itself and you stop thinking about it.
- Personalise the reminder text: your name and the time are enough; naming your speciality adds nothing and can cost.
- Write your cancellation rule into the booking conditions. It shows before booking and applies without you having to defend it.
- Ten to fifteen minutes of buffer between sessions: talking does not stop on the hour, and notes have to be written.
- Open online booking for the first appointment only: it is the one people do not dare ask for on the phone.
- Sync your personal calendar: what you block elsewhere closes the slot here, with no double entry.
Frequently asked questions
Counsellor, psychotherapist, psychologist: what is the difference in the UK?
The answer is uncomfortable and worth stating plainly. Neither "counsellor" nor "psychotherapist" is a protected title in the United Kingdom: anyone may use either, with any training or none, and successive governments have declined to introduce statutory regulation. What fills the gap are the Accredited Registers overseen by the Professional Standards Authority — the British Association for Counselling and Psychotherapy, the UK Council for Psychotherapy, the National Counselling and Psychotherapy Society and others — which require an accredited training, supervised practice hours, ongoing supervision, CPD and a complaints process. Registration is voluntary in law and compulsory in practice: insurers, employers and NHS talking therapies services work to it. "Practitioner psychologist" and its specific designations, by contrast, are protected by law and restricted to HCPC registrants.
How much does a counselling session cost?
Around £45 to £90 for a fifty-minute session, more in central London and for specialist work. Set your own prices.
Can I book a weekly session for the whole year?
Yes, with recurring bookings.
Can I make the reminders discreet?
Yes. The text is yours to write, service by service.
How do I set boundaries around late cancellation?
With a written policy shown before confirmation, and a notice period.
