Booking software for CrossFit boxes

The 6.30pm WOD full, the 10am one empty: booking regulates the flow, the no-show frees their place, and the trial session becomes a real first contact.

The challenges facing CrossFit boxes

  • The 6.30pm WOD is full, the 10am one is empty

Without booking, everyone turns up at the same time and the coach ends up watching thirty people snatch. Booking is not there to count: it is there to spread.

  • The member who books and does not come

They have paid for the month, so they lose nothing — but they took the place of someone who would have come. It is the most expensive no-show because it is invisible in the numbers.

  • The trial session is the first commercial contact

It gets asked for by direct message, arranged out loud, and lost one time in three before it even happens.

  • Equipment limits as much as space

Twelve barbells, eight rowers. A rowing WOD does not have the same capacity as a bodyweight one, and the timetable has to know.

Practical guide: CrossFit boxes

  1. Set each WOD's capacity by the equipment it needs, not by the floor area of the box.
  2. Allow drop-out up to two hours before, and make it a published rule: that is what frees the evening places.
  3. Create the trial session as a free service with a reduced capacity, with its own link to send.
  4. A "have you done CrossFit before" field on the trial session: the coach knows who they are welcoming.
  5. Set the weekly timetable on recurrence and close the bank holidays in one go.
  6. A reminder two hours before: on evening slots it is the difference between a place freed and a place lost.

Frequently asked questions

How much does CrossFit membership cost in the UK?

Around £70 to £130 a month for unlimited classes, with drop-ins at £12 to £20. Set your own prices.

Do you need a qualification to open a box in the UK?

Not by law: gyms and coaching are unregulated here, and no licence is required. Two constraints are nonetheless real. Using the CrossFit name is a trademark matter, not a legal qualification — affiliation requires a CrossFit Level 1 certificate and an annual affiliate fee, and trading as a CrossFit box without it is trademark infringement. And insurance is where competence gets tested: insurers expect a recognised coaching qualification, usually Level 2 or 3 alongside the Level 1, with CIMSPA registration increasingly asked for. Add a written risk assessment covering barbell and rig use, an induction and screening process for new members, first aid provision, and premises obligations including a fire risk assessment.

Can I cap the number of members per WOD?

Yes, with a capacity per class.

How do I discourage member no-shows?

With a published drop-out window and a reminder two hours before.

Can I manage several coaches?

Yes, each with their own diary and classes.
