Booking software for Physiotherapists
A course of treatment is ten sessions. Kagenda books them all at once, same day and same time, and reminds every patient the night before.

The challenges facing physiotherapists
Ten sessions to fit in at once
The patient comes out with a plan and you hunt for ten slots together, in a paper diary, while the next one waits.
You are the receptionist, between patients
The phone rings during a mobilisation. You do not pick up, and the patient calls the clinic next door.
Thirty-minute slots back to back
One absence shifts everything, and one session that runs over spills through the half-day.
Last-minute absences
The slot frees up at 2pm for 2.30pm. Nobody knows, and it stays empty.

Practical guide: Physiotherapists
- Book series on recurrence: ten slots at the same day and time, in one gesture.
- Five minutes of buffer between patients. Without it you are behind by 10am.
- Allow online cancellation up to twenty-four hours before: the freed slot goes straight back online.
- Reminder the evening before. It is the setting that makes the most difference to forgettings.
- Keep two emergency slots a day, closed online and opened by phone.
Frequently asked questions
Can I book a course of ten sessions in one go?
Yes, with recurring bookings.
Can my patients cancel online?
Yes, within the notice period you set. The slot goes straight back online.
Does Kagenda replace my clinic software?
No. It is a diary, and it holds no clinical records.
How do I handle emergencies?
By keeping daily slots closed online and opened by phone.
Is "physiotherapist" a protected title in the UK?
Yes. "Physiotherapist" and "physical therapist" are protected by law: you must be registered with the Health and Care Professions Council, and using either title without registration is a criminal offence. Registration requires an approved degree, CPD and compliance with HCPC standards, with a fitness-to-practise jurisdiction; the Chartered Society of Physiotherapy provides professional standards and, for most practitioners, indemnity through membership. Two practical points: most private medical insurers will only recognise HCPC-registered, CSP-member physiotherapists, and if you work with children or vulnerable adults an enhanced DBS check applies.
