Booking software for Art studios

Twelve easels, so twelve places, a weekly class across the year and a weekend watercolour course that both have to fit in the same studio.

The challenges facing art studios

  • Twelve easels: the studio is full at twelve

It is not a question of floor space, it is the number of working positions. A thirteenth sign-up and somebody draws on their knees.

  • The year-long class and the weekend course coexist

One sells by the term with a fixed slot, the other by the session over two days. Two logics, one studio, and a chart that cannot keep up.

  • Materials supplied or brought change the price

Paper, paint, canvas. They are add-ons chosen at sign-up with their price, or they get discussed on arrival.

  • Regulars want their Tuesday place

The weekly class is the studio's regular income. Rebooked by hand every week, it eventually gets lost.

  • A themed course gets prepared by buying materials

The numbers have to be known before ordering. A sign-up the day before is a student without watercolour paper.

Practical guide: Art studios

  1. The class capacity set by the number of easels, not by the size of the studio.
  2. Two families of service: the weekly class, set on recurrence for the year, and courses, published with their dates.
  3. Materials as a priced add-on at sign-up. What is chosen online gets bought in the right quantity.
  4. A minimum notice before sign-up on courses, set to forty-eight hours: you order against a fixed number.
  5. Regular students on a recurring slot: their place is held and does not reappear at booking.
  6. A "level and medium" field: the group is made up before the first session.

Frequently asked questions

How much does an art class cost in the UK?

Around £15 to £30 for a single class, £250 to £500 for a term of weekly classes, and £70 to £180 for a weekend course with materials. Set your own prices.

Do you need a qualification to teach art privately in the UK?

No. Teaching art is unregulated: no licence, no protected title, no required qualification. Two duties are real. If you use solvents, fixatives or spray media, COSHH applies: an assessment, adequate ventilation and safe storage, and spray fixative is the most commonly overlooked hazard in a small studio. And if you teach children, an enhanced DBS check and a safeguarding policy are expected by parents, venues and insurers alike. Add public liability insurance, which any hall or gallery will ask to see, and a written risk assessment for the space.

How do I limit sign-ups to the number of easels?

With a capacity per class.

Can I manage yearly classes and courses together?

Yes, as two families of service.

Can I sell materials as an add-on?

Yes, with their price, at sign-up.

How do I keep regular students' places?

With recurring bookings for the term or the year.
